Email Etiquette
Emailing is a great way to stay connected, send files or invoices, and keep apprised to what is happening with your business. However, with the ease and comfort of using email, many of us have become lax in correctly phrasing sentences, using punctuation, and over all tactfulness. We want to bring you back to the basics with a few things to keep in mind...
Grammar
We seem to think that with email, typing a complete sentence is somehow not necessary. However, there is nothing more unprofessional than sending a business email that lacks the proper grammar, the correct punctuation, or has incomplete sentences or misspelled words. Be sure to always use spell check. And don't type the entire message in all CAPS. A lot of people consider this to be "angry" typing or yelling at the person you are emailing.
Shorten the Subject line
Having too many words in the subject line is not only unnecessary, but the average inbox will truncate it, and the person receiving the email will only see half of it. Not to mention... some spam filters will consider these as spam and your message may not even been received. So remember to go with the "less is more" rule and keep it brief.
Do NOT send angry emails
We've all been there, you're mad and you are about to fire off an email that says it all. STOP! Shooting off a scathing email is NOT the way to resolve the issue. The best thing to do it to cool off, and talk to the person face to face. But if you must type an email, do so, but save it in your drafts. Later, when you have cooled down, reread your email. Chances are you'll see a world of things in it that you know you shouldn't say. Remove them and rewrite your message. Remember, once you hit send, most of the time you cannot UN-send.
Keep these helpful hints in mind when composing that next message and remember that what you type not only represents you, but it represents your business.
