Important Email Service Updates: Stronger Security & Improved Performance

Here at Sales & Marketing Technologies, we are committed to providing you with a secure and reliable email service. To that end, we will be making two key updates to our email platform starting Monday, September 29, 2025.

1. Updated Password Policy for Enhanced Security

To better protect your email account and personal data, we are rolling out a new, stricter password strength policy. This change is essential for maintaining the integrity and security of your account.

  • Self-Service Update: We will send an email notification to any account that requires a password change. This will give you the opportunity to update your password to a new one of your choosing as long as it complies with the latest strength requirements. We highly recommend you complete this action to avoid any disruption to your service.

  • Account Recovery Option: We encourage you to set up a recovery email address for your account. This provides a secure way to reset your password in the future if you ever forget it.

    • First-time webmail users will be prompted to enter a recovery email during their next login.

    • Existing webmail users can update this information at any time by going to Settings > Recovery Email Address and clicking Save.

  • Automatic Password Assignment: Starting on September 29, we will automatically update the passwords for all accounts that have not yet complied with the new policy. This could potentially lock you out of your account until you reach out to us for your new credentials. This is a measure we are taking to ensure all accounts meet our security standards, but we want to avoid this inconvenience for you.

2. New Retention Policy for Junk & Deleted Messages

To improve the overall performance and efficiency of our email service, we are implementing a new retention policy for messages in your Junk and Deleted folders.

  • Beginning Monday, September 29, any messages in your Junk or Deleted folders that are older than 90 days will be permanently removed.

  • Going forward, these folders will automatically clear messages after they have been in the folder for 90 days.

  • Your email messages in other folders, including your Inbox folder, will not be affected.

We encourage you to review these folders and move any messages you wish to save to another folder before this change takes effect on September 29.
